This is the moment when your vision begins to take physical shape - and the way it's managed can significantly affect both the final result and your experience along the way.

In our latest blog we discuss how we remain by your side through the entire on-site phase, offering oversight, guidance and solutions to ensure your project is delivered with the same high standards it was designed with. 

Regular Site Inspections & Quality Oversight

From the day the ground is broken to the final handover, we carry out regular, scheduled site inspections. 

These visits are about much more than checking progress - they’re about safeguarding quality, ensuring alignment with design intent and being proactive in resolving potential issues.

During these inspections, we:

  • Ensure build accuracy: We compare progress against the approved architectural drawings and specifications, checking that what’s being constructed is exactly what was intended.

  • Maintain quality: We assess whether materials used and workmanship meet the standards agreed in the design brief and contract.

  • Act swiftly on issues: If discrepancies, delays, or errors emerge, we address them immediately - helping to keep the project on track and avoid costly delays or rework.

  • Collaborate effectively: We maintain ongoing communication with contractors, engineers and consultants, helping to keep everyone on-site in line with the overall vision and technical requirements.

Our presence ensures that standards are upheld, timelines are adhered to and any concerns are dealt with before they become problems.

Contract Administration and Client Advocacy

In most of our projects, we act as the Contract Administrator under a JCT (Joint Contracts Tribunal) form of building contract. 

This formal role gives us the authority to manage and administer the agreement between you and the contractor - protecting your interests at every step.

Our responsibilities include:

  • Issuing site instructions: Whether it’s a design adjustment or clarification, we provide formal instructions to the contractor as needed to keep works moving smoothly.

  • Certifying payments: We confirm that work completed matches agreed milestones, ensuring contractors are paid fairly and only for work that has been properly completed.

  • Managing variations: If changes to the scope, design, or materials arise, we document and value these carefully, ensuring transparency and fair cost control.

  • Monitoring budgets and timelines: With our impartial oversight, we help prevent cost overruns, avoidable delays, or misunderstandings - providing a layer of accountability that benefits everyone involved.

Quick, Informed Responses to Site Queries

No matter how well-designed a project is, construction is dynamic - and challenges will arise. 

Ground conditions, existing structural quirks, or supplier changes may create questions that need fast and thoughtful responses.

We're on hand throughout the build to:

  • Respond quickly to RFIs (Requests for Information): Builders need clarity to avoid downtime. We ensure they get prompt, clear guidance.

  • Review technical drawings and shop details: We scrutinise subcontractor or manufacturer drawings to ensure they support the architectural vision.

  • Refine or adjust details: Whether it’s tweaking a junction detail or finding an alternative material, we adapt sensitively without compromising design quality.

This phase is about intelligent problem-solving. By staying involved and responsive, we prevent delays, ensure smooth coordination and protect the integrity of the architecture.

Snagging, Practical Completion & Handover

As your project nears completion, we shift our focus to fine-tuning every element of the build - ensuring it is delivered to the highest standard.

We oversee:

  • Snagging inspections: A meticulous check of every room and finish to identify anything that isn’t quite right - from paintwork and fittings to joinery and finishes.

  • Issuing the Practical Completion Certificate: This formal milestone marks the point at which the project is considered substantially complete and fit for occupation. It also triggers the start of the defects liability period - a timeframe in which the contractor must return to resolve any faults that emerge.

  • Final handover: We assist with gathering manuals, warranties and certifications. We also ensure any final touches or unresolved issues are completed before sign-off.

We stay involved until every detail has been delivered as promised, offering peace of mind at one of the most exciting and rewarding stages of the project.
